    I’m not sure about your location, but I’m guessing its the same for most countries…

    there is a F*CK LOAD of laws.

    You’ll need security too if your gonna be charging.

    Since I have no idea how big this is and whether you plan on doing this in a big city or a rather small village, I’ll just post what I do when I’m organizing an event. Could be that you already did/knew all of this stuff or that it doesn’t apply to your area, but who knows : )

    1.) Crew
    You need people who sell the tickets and who check if the people who want to enter have a valid ticket (or wristband) with them. Usually you can’t get securities to do this, plus securities are expensive and you want to keep their amount as low as possible.

    I guess you’ll need people to give out drinks as well, unless the bar isn’t super small you need at least two per shift.

    2.) Venue
    If you’re renting a warehouse you probably can’t rely on some infrastructure like a bar, definitely check out what kind of stuff you need to bring for yourself. Don’t forget about stuff like cups (you don’t want to give out bottles), probably you need some lights for the bar too, otherwise the people there will have a hard time working.

    3.) Office
    It’s always good to have some space where you can safely keep your stuff, like the cash you collected from the entry/bar during the night, documents you need to have with you if somebody shows up who wants to see them, etc.

    4.) Security
    As mentioned above, if the event grows larger you definitely need to have securities. Check with the local authorities how much they require you to get. Also, if this is a private event, it’s never a bad idea to show up at the closest police station beforehand and tell them what you’re going to do, maybe give them your phone number if they want to. Showing that you’re a responsible guy saves you from trouble induced by locals close to your event ; )

    5.) Laser
    We had a laser once which was pretty expensive, but the most annoying thing about it was that we had to pay somebody who was supposed to look after the laser (you need a special training to be allowed to do that). Definitely check if you need somebody like that and how much he’s going to cost.
    What is easier to accomplish and cheaper are video projectors, get a VJ or two and you’re set. Usually projections entertain me more than lasers : )

    6.) Check-in / Crew Briefing
    Okay, this usually really comes into play when you have a medium to big event, but I think it’s never a bad idea to have that in mind.
    Do a list with all the people working on that evening with their respective phone numbers, so you can easily reach them (don’t forget to tell them YOUR phone number as well if something goes wrong during the night and they need you). Call them the night before to make sure they didn’t forget that they have to work at your event the next day and tell them to show up one hour before they have to start working (people are always late anyways). Once they show up, tick their name on your list so you have control over the spots you need people to work on and where you maybe have to replace someone. Get at least two persons who are willing to replace someone on the main spots like bars in case somebody isn’t appearing for work.

    Put together some short instructions of how the work at the bar/entry has to be done and place them on the respective spots, plus tell the bar guys to check out where all the stuff they need is BEFORE the event starts.

    One of the biggest pieces of Advice i can give…is make sure it is a adult only party…no minors.

    This will save you a huge headache, Im assuming this will be a EDM style of event. You have to plan for the worst case scenario. Young people tend to go overboard with drugs, and espically if u are serving booze you do not want any minors…

    My friends threw 2 big parties…the first one all ages…and it ended up being a shit show with little 16 year olds passing out on too many substances and EMS/Police being called.

    The 2nd one was no minors and it went without a problem.

    Do not set your ticket/wristband prices until you have already figured out what your total costs are going to be and what the venue’s capacity is. You dont need to make a lot of money off of this…but you should at the bare least break even, after all costs have been figured out.

    Depending on where you are located…find out ALL the laws and rules regarding the type of event you are throwing…
    You are probably gonna be spending a decent chunk of change on this event…and the last thing you want is the cops shutting it down early because you failed to provide all the proper measures to throw an event of your scale.

    Promotion!!! This one is Huge…in the OP it stated that you will be the only one DJing? IMO that is a bad call…More DJs create Bigger Crowds…Have a lineup of 1 DJ every 1.5-2 Hours…This will expand on diversity and will get other followings into your show. This will not only make the event bigger, but you will create a larger following for you after the show.

    Honestly…to do a Warehouse Party Properly as you are talking about with lazers and big sound booze and the whole works…you are looking at spending around $10,000.00 all in including renting of the venue, lights, sound, security, staff, promotion costs(Flyers, Tickets etc.)

    Now depending on the size of the warehouse…you will have capacity at what? lets say capacity is 500…plan on only filling 2/3s of that capacity. and set your ticket/wristbands accordingly.

    One thing I forgot to mention, make sure to get change for the bar and doors. One would assume that this would work out on itself by enough people having the correct amount of cash ready, but that’s actually never the case. The last event we did was for about 200 people and we got EUR 2.000,- in change in advance, and at the early point of the evening we were almost running out of it because people paid only with 10 or 20 Euro notes at the bar.

    Besides that, Hee Won Jung definitely got a point here with what he said.

    thankyou all.
    its (supposed to be at least) about 2-500 people
    there will be a few securities, and amazing call on office and change, that had never entered my mind.
    the realtor is recommending around 20,000 feet for the warehouse, is this excessive, or reasonable?
    there is going to be around 2-5 djs for the night, and a couple bands are trying to see if we can mix them in. (I’m thinking that only one will make it)
    for an all night party, we were thinking that $15 a wristband for pre buying and depending on how that goes, up to 25 at the door.
    The reason that I chose a warehouse is because the local laws allow noise above a certain level at night only in dense industrial and dense commercial zones (which all the warehouses with enough space are zoned as)
    the realtor said that the space should come out to be around 1000,
    and I know the security people Im thinking of hiring, and they are willing to go for cheap (good because the tickets are cheap)
    as for renting lights and speakers and such, is that where most of the money is going to go?

    as for ticket sellers, I am enlisting all of my close friends/classmates. they buy the tickets for 15, and can resell as they see fit with a recommended price of around 17-20 (that way There will be less people asking for free tickets)

    bad call on this dude.

    This is why: All ur friends by tickets for 15…someone starts trying to sell for 25 and sell a few off…now they find out that their friend bought a ticket off someone else for only 17 bucks in the same day….the people who bought them for 25 will be like WTF why the hell did i have to pay more?

    Best thing to do is…make all your friends sell tickets for 20 bucks each…and give them a 5-4 dollar commision off each ticket. This way you regulate what the ticket sales are to everyone.

    Remember to pay EVERYONE…including your DJs.
